Meet the Client

ApolloMD is a physician-led group with approximately 3,400 clinicians across 18 states, more than 100 hospitals and location relationships, and 130+ practices. ApolloMD is largely concentrated in emergency medicine, with additional hospitalist, anesthesia, and other related services.

The Challenge: A High-Volume Documentation Burden

Emergency medicine claims often represent stabilization, evaluation, and treatment rather than a comprehensive diagnosis. After a claim was submitted, payers frequently requested detailed medical records to validate the evaluation-and-management services and coding.

ApolloMD partners with health systems that use different electronic health record systems, including athenahealth, and Epic, requiring an RCM workflow that could coordinate across multiple systems. The ApolloMD team was able to work through the requests, but doing so required significant operational effort and required outsourced billing resources, because records could not be attached upfront. Every submission represented work that had to be completed before the organization could recover the revenue associated with the claim.

ApolloMD needed a way to manage the volume without adding staff or forcing its teams to spend more time navigating payer portals.

The Solution: Automating Medical Record Submission

ApolloMD and Adonis partnered to automate this process from claim identification and document attachment through payer submission.

The workflow begins when remittance data indicates that a claim requires medical records.

Adonis identifies the relevant claims and works with the ApolloMD team to retrieve medical records, aggregating documentation across ApolloMD’s health system partners. From there, Adonis drives the work with payers, submitting documentation, monitoring submission, and returning updates through writeback to claim notes in Athena.

This work resulted in a coordinated workflow that paired a records-retrieval integration with Adonis’s payer submission automation, without requiring ApolloMD to replace its existing systems.

The Results: Increase Recovered Revenue Without Additional FTEs

The initial results demonstrated the value of automating a process ApolloMD had previously managed through manual and outsourced labor.

ApolloMD recovered $950,000 in revenue associated with claims requiring medical records across approximately 5,500 claim submissions within 3 months. That volume represented a substantial amount of repetitive work removed from ApolloMD’s revenue-integrity and billing operations for claims across various payers.

The workflow also reduced the need for staff to manually navigate payer portals, upload records, and track submissions one claim at a time. That capacity can be redirected toward less automated, high value work and requires no additional full-time employees.

Together, the results show that the value of automation extends beyond recovered revenue, including reduced operating costs and administrative burden associated with collecting that revenue.

A Partnership Fueled by Innovation and Collaboration

ApolloMD partnered with Adonis not only to automate a repetitive task, but to create a more efficient path from payer request to recovered revenue. The partnership combined ApolloMD’s deep understanding of its clinical and revenue cycle operations with Adonis’s ability to automate payer workflows.

ApolloMD and Adonis will continue expanding the claim attachment workflow across payer pathways and increasing submission volume. ApolloMD and Adonis are moving claim attachment work from a manual, high-volume obligation to an automated revenue cycle workflow, helping ApolloMD recover more revenue without adding operational complexity.
